Understand your role as a Caredove Organization Administrator

All you need to know as an Organization Administrator: how to invite your staff, configure settings, and what your organization’s records look like.

As a Caredove Administrator you manage user accounts and your organization's Caredove settings. Let's get started! 

Accepting the Membership Agreement

Your first login asks you to accept the Caredove Membership Agreement, the same agreement every Caredove user accepts. As Organization Administrator, your acceptance is also recorded on your organization’s behalf, as described in the Caredove Referral Network Roles and Responsibilities policy. It is recorded with your name, the date, the agreement version, and you can have a copy emailed to you at acceptance or any time afterward.

Most organizations designate a manager or supervisor for this role. If your organization’s governance requires your CEO or Executive Director to make organizational commitments, they can accept as the first administrator and then delegate day-to-day administration to a manager.

If you’re already an Organization Administrator, nothing here is new. These have always been part of the role, as described in the Roles and Responsibilities you reviewed when you accepted it.

Inviting your first staff member

Before you invite staff, it's important to understand the different types of user permissions within the platform, including your own. Once you determine which permissions are required for each staff, start the invite process.  Navigate to Permissions in the Top Menu and select Add User

Question: Why doesn't Caredove invite your staff to have referral handling permissions at your organization?

Answer: Because you know best who works at your organization, and what role they have. Once Caredove adds the first Org Admin, it's over to them to manage permissions.

Your acceptance record

Everything your users agree to is recorded and visible. On each staff's user's Permissions & Security page, you can see: their Membership Agreement acceptance (version and date), the Roles and Responsibilities they reviewed for each permission they hold, who granted each permission and when, and their account activity history.

When a user’s permissions change, the platform asks them to review and agree to their new responsibilities at next login. Until they agree, the permissions page will reflect a "Pending Role Review" or "Pending Agreement" tag next to their name. When Caredove’s policies change, every user is prompted to review and accept the updated version. The record never goes out of date.

Review your organization 

It is very important that your organization is accurately reflected on the platform. We suggest starting with a thorough review of your organization information and your service listings. If your organization's information needs to be updated, please let Caredove know through the chatbox and we can make those changes for you promptly!

Configure Caredove to receive referrals

As an organization that primarily provides care, you will need to configure your agency to receive referrals.  Note: we always suggest that you contact Caredove so we can properly assist you.

Changing or adding an Organization Administrator

Your organization can change its designated administrator, or add a second one for continuity, at any time. Use the Permissions tab and select Add User. We recommend every organization maintain a secondary administrator.
