When using Quick Booking, please double-check your data entry. Editing details afterward is more restricted compared to the standard referral process.
Use Quick Book when you want to:
Send email confirmations or reminders to clients already scheduled in your backend system.
Book existing clients into a new appointment when you already have their information in your CMS or EMR.
How to Quick Book:
Click an open slot in the calendar.
Select Quick Book.
If this is your first time, check the box beside Quick Book to view the basic client details you’ll be prompted to enter.
Enter the client details as prompted.
You will need to enter at least one of: name, email, or client identifier to create the referral.
Choose how to finish:
Click Book to submit the referral and send an email confirmation (if you’ve entered an email address).
Click Quick Complete if the appointment has already occurred and you know the outcome.
Tips for success:
Confirm the client’s email address before booking to ensure they receive reminders.
Add client identifier if they already have a unique ID in your external systems to make it even easier to connect the dots in the future
Review your selections carefully if it’s your first time using Quick Book.
Entered incorrect data?
If only appointment details are incorrect (e.g., location, time)
If the outcome has already been set:
From the calendar, select View Referral.
In the referral view, choose Update Status.
Change the status from Closed back to Booked.
Note: You’ll be required to pick a sub-status. Choose any option — it’s temporary.
Return to the calendar, select the appointment, and click the pen (edit) icon to update the appointment details.
After saving, you’ll need to set the outcome again.
If an outcome has not been set yet:
Select the appointment directly from the calendar.
Click the pen (edit) icon.
Adjust the appointment details as needed and save.
If client details are incorrect (e.g., name, identifier, email)
Quick-booked referrals cannot be deleted. You have two options:
Option 1 – Correct the appointment and referral
Update the referral status to Entered in Error (or whichever outcome best fits your workflow). This ensures there is a clear record that the referral was invalid.
If you need to ensure the referral does not appear in total referral volume reports, you may revoke the referral. Revoking permanently deletes the record — note that this action cannot be undone or recovered by any Caredove team member.

Create a new appointment and complete the quick-book process again.
Option 2 – Edit the referral
Select View Referral.
In the referral view, click Edit.
Complete the additional form fields as prompted.
Tip: If you don’t have the client’s additional information, you can enter generic/test values as placeholders.
