If you’re trying to set up a new organization in Caredove, it’s important to understand what qualifies—and why some requests may be declined.
Let’s break it down clearly.
✅ What is an organization in Caredove?
An organization in Caredove is a real, verifiable entity that provides services to the public. This includes:
A registered non-profit, agency, or health care provider
A clinic, hospital, or service provider with a governing body or formal structure
A program or site run by a larger organization (with unique contact info or location)
🧾 Key criteria: The organization must exist independently, be accountable, and offer legitimate services that people can be referred to.
❌ What is not an organization?
Here are some examples of what doesn’t qualify as an organization in Caredove:
A fictional or placeholder name, like “Help4Seniors” that isn’t tied to a legal or operating entity
A category or type of organization, like “Hospitals” or “Food Banks”
An umbrella label used to group unrelated sites (e.g., creating one “Mall Walking Ontario” org for dozens of separate service providers across Ontario)
📌 Think of it this way: Would someone receive services from this organization directly? Can we verify it exists on its own? If not, it’s not an organization.
🧠 Why does this matter?
Caredove is a Health Information Network Provider (HINP) in Ontario. As such, we are obligated to comply with stringent standards to ensure the integrity, privacy, and security of health information.
Just like a bank must “Know Your Customer” (KYC) to prevent fraud, Caredove must know the organizations in the system to ensure referrals are being sent to real, trusted recipients.
Creating fictional or unverified organizations puts this accountability at risk—and this is why we cannot support the creation of such an organization for referrals.
💡 What can you do instead?
If you want to represent a collective group, here's our recommended option:
Create multiple listings under real organizations. Each listing can represent a location or program.
We’re happy to help design a solution that works within our standards.
