To begin, let's download the reports you need. ⤵️
Select Reports from the top menu.
Select from the drop-down list the type of report you'd like to retrieve.
Adjust the time period, if relevant, by selecting Custom and adjusting the start and end dates.
Select Run Report or Download Data, depending on which option is displayed.
Managing Inbound Referral Raw Data
Select the Spreadsheet: Inbound Referral Raw Data (2).
Adjust date for timeline for report as needed by selecting Custom (3) and choosing the particular date range (4) of which you would like to retrieve the data.
Uncheck all Additional Data (5).
Change the Output Referral/Outcome Options in from Single Column to One Column per Field (6).
Select Download Data (7).
The Data will now open in a spreadsheet making it easy to search, navigate, and filter through your key referral data.
Looking for more specialized data? Create a PivotTable
This is recommended for individuals who'd like to review several data elements at once, or dive deeper into a visual analysis of the data.
Select the cells you want to create a PivotTable from (if this is all cells, select the rectangle that's chosen in the above gif).
Select Insert > PivotTable.
The data that appears in the pop-up shouldn't need to be changed as it automatically populates with your selected data, and indicates the pivot will be created in a new sheet.
Select OK.
How to Navigate a Pivot Table:
To add a field to your PivotTable, select the field name checkbox under Field Name and it'll automatically add it to the bottom four boxes. You can move it to the box you want it in by clicking and dragging.
To Assess Referrals per Service:
Add Service Selected to Rows.
Add Reference # to Values (1), select the i icon beside it (2), select Count (3) and hit OK (4). [As overviewed in above image.]
To Assess Outcomes:
Add Status and Sub Status to Rows.
Add Reference # to Values (1), select the i icon beside it (2), select Count (3) and hit OK (4). [As overviewed in above image.]
You may also want to play around with the various pivot tables and perhaps replace step 1 with including data-cohorts, or certain cancellation data.
